How does Hidaya make sure projects like Career Development are executed successfully?
In order to make sure that all of its projects including Career Development Project - e.g Software Engineering Internship are executed successfully, Hidaya defines Standard Operating Procedures (SOPs) for all of its projects to maintain the same quality and standard everywhere. The Standard Operating Procedure (SOP) for Software Engineering Internship Program is summarized below:
Step 1: Hidaya receives funds from donors.
Step 2: Central Operations provides a document to District Operations called Scope of Work (SOW) summarizing funding available for the project, goal to achieve etc, based on mapping tools like 5M (Money, Manpower, Material/machines, Method, Mother Nature) and 5W & 1H (What, Why, Where, When, Who, How).
Step 3: Hidaya’s District and Field Operations run by Hidaya paid employees and volunteers are advised to submit a project proposal based on the SOW and a SOP.
Step 4: After submission, project proposals are reviewed by a minimum of two layers of management and funds are released on approval.
Step 5: Project is advertised through newspapers and internet.
Step 6: Hidaya's project managers and team members receive applications. In addition, informative discussions are held with visiting applicants.
Step 7: Before selecting any internee, it is made sure that he/she falls into Hidaya’s eligibility criteria. In this particular case, the applicant must have been jobless for at least one year, be from a poor or lower middle class background, and come from a small town or village where there is a lack of opportunities to grow.
Step 8: After sorting applicants, initial phone interviews are conducted to narrow the list of candidates, candidates are tested for their technical strength to determine whether the particular applicant possesses basic knowledge of software development.
Step 9: A short list of candidates are called for an in-person interview. Their technical, moral and social conditions are evaluated by some written and oral exercises.
Step 10: After Interviews, conclusions and recommendation are sent to Manager, Central Field Operations and higher authorities for approval.
Step 11: Upon approval, letters are sent to the selected candidates, containing details such as duration of internship, timings and stipend, etc.
Step 12: A fixed stipend is offered to deserving candidates while some are offered free training modules. There are equal opportunities for both male and female and to Muslim and non-Muslim candidates (as this project runs on zakat as well as non zakat funds).
Step 13: On their first day, internees are asked to sign a contract with Hidaya, which defines the rules and regulation by which they must abide by including attendance.
Step 14: Internees are trained in computer laboratories where latest tools and techniques are used to train. A hands-on experience is given to interns for networking and hardware modules.
Step 15: A Bi-Weekly Project Status (BPWS) report is submitted with any available additional information like photos, videos, and interviews of beneficiaries to Central Field Operations.
Step 16: On completion of project, the team lead and back up submit Project Completion Report to the Central Operations. The Project Completion Report summarizes all the activities, costs and overhead from beginning of project to the end.
