How Hidaya Foundation makes sure all projects including Support A School Project are executed successfully?
Hidaya
Foundation uses Standard Operating Procedures (SOPs) for all of its
projects to maintain project implementation quality worldwide, in turn
minimizing overhead cost. The Standard Operating Procedure (SOP) for
Support A School summarized below:
Step 1: Hidaya Foundation receives funds from donors.
Step 2:
Central Opearations provides a document to District Operations called
Scope of Work (SOW) summarizing funding available for the project, goal
to achieve etc, based on 5M (Money, Manpower, Material/machines,
Method, Mother Nature) and 5W & 1H (What, Why, Where, When, Who,
How).
Step 3: Hidaya Foundation's District and Field
Operations run by Hidaya employees and volunteers or partner
organizations are advised to document project proposal for each school
with start up plan based on the SOW and a SOP if it is a repeated
project. In case of a new project (completely different in nature),
SOP is documented at a later stage after first time project is fully
implemented.
Step 4: Project Proposal is reviewed by a minimum of two layers of management and funds are released on approval.
Step 5: For adopting a new school Hidaya Project Manager Prepares criteria for adoption of government schools at remote villages
Step 6: Based on the Adopt A School Criteria Hidaya team Identifies closed schools throughout a district.
Step 7: Team Conducts a survey of selected schools and surrounding social conditions
Step 8: Completes a cost analysis for each school based on possible students' enrollment and surrounding social conditions
Step 9:
Hidaya Signs an agreement with Executive District Officer, Education
Department, for adoption of government school or certain number of
Schools
Step 10: Project Manager Finalizes the timeline for start of school or each school if more than one.
Step 11: Finalizes the curriculum
Step 12: Hidaya team Conducts written test, interviews, etc. for the hiring of teachers
Step 13: Completes medical exam for TB, Hepatitis etc. and hire selected teachers
Step 14: Designs and implements training programs for teachers
Step 15: Forms a committee for the repair of school buildings consisting of Hidaya team, and Education Department representative
Step 16: Arranges Supplies for each school considering the students' enrollment
Step 17: Arranges meetings with the surrounding community of each school to mobilize and involve them in this effort
Step 18: Formulate teams to monitor the operation of all schools and evaluate progress of teachers and submit reports every month
Step 19:
Every month, a Project Overview is submitted. In addition, photos,
videos, case studies, and interviews of beneficiaries are provided
regularly to Hidaya Foundation.
Step 20: Every six
months, Project Report is submitted to Hidaya Foundation with complete
details of accomplishments etc.. In addition, a fresh Project Proposal
for the next six months is submitted. The Project Report includes all
details about the project.
